It can be hard to write a follow-up email. Nobody wants to be that annoying salesperson that ends up getting tagged as spam. But, at the same time, you don’t want to be missing out on sales due to your lack of follow-ups.
According to Marketing Donut, 80% of sales happen after five follow-up messages. That means leads either say no or wait to respond four times before agreeing to your offer.
It’s clear that the follow-up needs to be an essential part of your strategy – yet it’s often overlooked. In this article, we’ll walk you through how to write a top-tier follow-up email, as well as share some of our very own examples.

How to write an engaging follow-up message:
When writing a follow-up message, you don’t want to miss these things. Here are some of the best tips for writing an engaging follow-up message.
Make it personal:
The best thing you can do for your email campaigns is to use personalization. Instead of diving straight into the main point of your message, try starting with “Hey David” or “Hi [name]” to grab their attention.
We also recommend hitting on another personalized point in your email. Specifically, you can mention the company your lead works for or their job title. Better yet, mention a common challenge that your lead may be struggling with.
Be authentic:
Sending follow-up emails can seem predictable, but your email shouldn’t read like a formula. To avoid this, stay away from empty phrases that don’t further your conversation.
In order to sound more genuine, a mindset shift often needs to happen. Instead of thinking about your email as a sales message, think of it as a networking opportunity. Conversational, value-driven messages will convert more customers than any sales-y offers will.

Restate your goals:
Most of the time, your message is left open because the lead just isn’t interested. Sometimes, they’ve actually missed your message.
No matter what the reasoning is, you should always restate the goal of your original message.
Here are a few quick ways you can do that:
- “I wanted to check in and see if you’ve had time to review my guide on how you can save time with automation.”
- “Just circling back to see if you’re still up for a 15-minute chat next Wednesday at 10 AM?”
- “Following up on any updates about my application. I’m excited to hear about this opportunity, and I’d love to find time to connect.”
Provide a clear CTA:
Next steps are important for any prospecting message. With emails, they’re especially important. Ensure your leads know what to do if they’re interested in your offer. Don’t make them search for your last email or re-read your email – include your CTA right up front.
We’ve written an A to Z guide on how you can improve your CTAs. Check it out here.
End with an appreciation:
Regardless of how many times you have to follow up with a lead, always take the time to thank them. Even if they never see your message, appreciating your prospects is a fantastic way to position yourself in a positive light.
Here are a few examples of how you can end your follow-up emails with appreciation:
- “Thanks for taking the time to read this. Even if you’re not interested in automating your outreach at this time, we appreciate you.”
- “Don’t hesitate to reach out to me if you have any questions – I’d be more than happy to help.”
- “Have a fantastic rest of your week, and enjoy that three-day weekend! I’ll be looking forward to hearing from you.”
When should you send a follow-up email?
How often you follow up with your leads is another important factor in how likely you’ll receive a response. If you send your messages too often, you’ll end up blocked. Too frequently, and your prospects will forget about you.
As a general rule of thumb, you should wait at least two to three days before sending your first follow-up message. If you’re planning on sending more than one follow-up message, the time between messages should increase after each follow-up.
