Cold Email

LinkedIn is often the first channel teams think about when building an outreach campaign. It’s personal, conversations feel more natural, and response rates can be strong. But not every prospect checks LinkedIn regularly and some simply prefer email.
That's where multichannel outreach can help. By combining LinkedIn and email in the same campaign, you can reach prospects through a second channel instead of relying on LinkedIn alone.
With We-Connect, you can do exactly that on the Professional plan, but before you send your first email campaign, there are two important steps to complete: connect your mailbox and warm it up properly.
Connecting your mailbox allows We-Connect to send emails from your own address, while email warmup helps gradually build your mailbox’s sending reputation. Skipping the warmup process or sending too many emails too quickly can increase the chances of your messages landing in spam instead of the inbox.
In this guide, we’ll walk you through how to connect a mailbox in We-Connect and how to warm up your email account step by step. You’ll learn how to connect Gmail, Outlook, and other supported email providers, configure your mailbox, and set up email warmup before launching your outreach campaigns.
You can't run an email campaign until you've connected a mailbox.

The good news is that your mailbox doesn't have to come from one specific provider. We-Connect supports Gmail, Outlook 365, and other email providers through SMTP and IMAP.
Once connected, your mailbox becomes the email account We-Connect uses for your email campaigns.
This is also what makes LinkedIn and email multichannel outreach possible. Instead of running separate campaigns on different platforms, you can include email alongside your LinkedIn outreach as part of your broader campaign strategy. Email Workflows lets you combine LinkedIn automation and email sequences in one workflow, with A/B testing and open and click tracking.

You can add and manage your email accounts from the Mailbox section in We-Connect.
The exact steps depend on your email provider, but Gmail and Outlook use a simple authentication flow, while other providers require SMTP and IMAP details.
For a video walkthrough, see How to Add a Mailbox on We-Connect.
If you're using a provider other than Gmail or Outlook, you can connect it using SMTP and IMAP credentials.
Yes. On the Professional plan, you can connect 3 email accounts per seat. This is useful when you want to send from different sender addresses, like separate mailboxes for different clients, regions, or product lines.
Each mailbox works independently.
In Settings → Email Settings, every connected mailbox has its own sending limits, tracking domain, signature, and unsubscribe settings, and its own warmup. That means you can warm up a new inbox without touching one that's already established.
When you build a campaign, you pick one mailbox in Campaign Details, and every email step in that campaign sends from it. Keeping one sender per campaign keeps your outreach consistent for recipients and avoids mixing sender identities.
Connecting your mailbox is only the first step.

If you're about to use that mailbox for cold email outreach, you don't want to immediately jump from little or no outreach activity to sending a large number of emails every day.
Mailbox providers such as Gmail and Outlook pay attention to sending behavior. A sudden increase in volume from a mailbox with little established sending history can make your sending activity look unusual.
Email warmup gives you a gradual way to increase that volume.
Instead of starting at a high sending volume, We-Connect begins with the number of emails you choose and gradually increases the daily volume according to your settings.
You should consider warming up:
If you've used We-Connect's LinkedIn account warmup before, the concept is similar - it's simply applied to your email channel.
Once your mailbox is connected, you can enable email warmup from the email settings page.
Step 1: Open Email Settings
Go to Settings → Email Settings.
Step 2: Select your mailbox
Under Manage settings for, select the mailbox you want to warm up.
If you've connected multiple mailboxes, each one appears as a separate tab. This means you can configure warmup independently for each mailbox.
You can warm up one mailbox while leaving another unchanged.
Step 3: Turn on Email Warmup
Toggle Email Warmup on.
You'll see three settings that determine how your mailbox ramps up its sending volume.
Starting emails per day
This determines how many emails the mailbox sends on the first day of warmup.
For a brand-new mailbox, a lower starting volume such as 5–10 emails per day is a more conservative starting point.
Daily increase
This determines how many additional emails are added to the daily volume during warmup.
For example, if you start at 5 emails per day and set your daily increase to 2:
The volume continues increasing until it reaches your maximum warmup limit.
Maximum warmup limit
This sets the highest number of emails warmup will send per day.
Once your mailbox reaches that number, warmup stops increasing the volume and holds it at that level.
Step 4: Save your settings
Once you've chosen your settings, click Save.
We-Connect will start at your chosen starting volume and gradually increase it based on your daily increase until it reaches your maximum warmup limit. For a quick reference, see How to Set Up Email Warmup.

The right settings depend on how established your mailbox is and how much you eventually want to send.
For a brand-new mailbox, a conservative starting point is:
This gives the mailbox a gradual ramp-up over a couple of weeks.
For an existing mailbox that has been used for regular email but hasn't previously been used for outreach, you can start higher:
These are example configurations rather than requirements. The important principle is to ramp up gradually rather than immediately sending at your eventual maximum volume.
Warmup itself tops out at 100 emails per day.
If your intended sending volume is higher than that, that's where your regular sending limits come into play.
This is one of the easiest parts of email setup to confuse.

Warmup controls the ramp-up.
It gradually increases your sending volume as your mailbox is being warmed up, up to a maximum of 100 emails per day.
Sending limits control your ongoing sending volume.
Once warmup is complete, your regular sending limits become the active ceiling. These can go much higher, up to 2,000 emails per mailbox per day. That's a ceiling, not a recommended volume. Staying well below it is generally safer for deliverability.
So if you're eventually planning to send more than 100 emails per day, the process looks like this:
Start low → Gradually increase → Reach your warmup limit → Complete warmup → Scale using sending limits
Once the mailbox reaches its maximum warmup limit, warmup is complete. From there, your sending limits determine how much you can send.
Warmup isn't something you necessarily need to keep running forever.
Once your mailbox has been sending at its intended volume for a few weeks without deliverability issues, you can leave warmup turned off.
You can turn it back on later if you:
The idea is to use warmup when your mailbox needs a gradual ramp-up, rather than treating it as a permanent setting.
Warmup builds sending history, but it works alongside a few other basics. Authenticating your domain with SPF, DKIM, and DMARC shows mailbox providers that your emails really come from your domain. Including an unsubscribe link helps you stay compliant with anti-spam rules, and it's worth reading up on the most common email marketing mistakes before you launch.
Getting your mailbox connected is the first step. Warming it up gives you a gradual path toward your intended sending volume.
Once that's in place, you can start using email alongside LinkedIn as part of your outreach strategy.
Instead of asking:
“Should we reach out on LinkedIn or email?”
you can build campaigns that use both channels, depending on how your prospects respond and how you've structured your workflow. For a head-to-head look, see LinkedIn prospecting vs. cold emailing. Once your emails are sending, here's how to write an engaging follow-up email.
With We-Connect, your connected mailbox becomes part of the same platform where you're already managing LinkedIn outreach.
How do I connect a mailbox to We-Connect?
You can connect Gmail, Outlook 365, or another supported provider from the Mailbox section under Settings. Gmail and Outlook use account authentication, while other providers can be connected using SMTP and IMAP credentials.
How do I warm up my email account in We-Connect?
Go to Settings → Email Settings, select the mailbox you want to warm up, turn on Email Warmup, configure your starting volume, daily increase, and maximum warmup limit, then click Save.
What is the maximum email warmup limit in We-Connect?
Email warmup can gradually increase sending volume up to 100 emails per day. Higher ongoing sending volumes are controlled by the mailbox's regular sending limits.
How long does email warmup take in We-Connect?
It depends on your settings. With the example for a brand-new mailbox (start at 5, increase by 2 a day, cap at 20–30), the mailbox reaches its cap in roughly one to two weeks. For a brand-new inbox, plan on a full warmup period of 2–4 weeks before scaling up.
What is the difference between email warmup and sending limits?
Warmup controls the gradual increase in sending volume, while sending limits control the mailbox's ongoing daily sending ceiling after warmup is complete.
Can I connect multiple mailboxes to We-Connect?
Yes. On the Professional plan, you can connect 3 mailboxes per seat. Each one appears separately in the Mailbox and Email Settings areas, so you can manage its sending limits, warmup, and tracking independently. See Using Multiple Email Accounts in We-Connect for more.
Once your mailbox is connected and warmed up, set up your first email campaign.
